We have an exciting, challenging and rewarding opportunity for a keen and enthusiastic individual to join our Pharmacy team to as an administrative assistant. In this role you will be supporting senior staff, coordinating administrative and governance processes for the Pharmacy department with a focus on the Medicines Optimisation agenda within the trust, and across the BSW healthcare system.
You will play a key role, working with a variety of staff to support safe and effective medicines use in a number of different approaches.
You will need to be a confident friendly person, good at establishing meaningful working relationships and be able to think outside the box. Prior NHS working is not essential but we need you to be organised, conscientious, reliable, dedicated and pay great attention to detail. We will make sure that your new role is stimulating, exciting, rewarding and give you the opportunity to make your mark.

Main duties of the job
The post holder will be responsible for supporting, developing and co-ordinating administrative and data analysis processes for the pharmacy department with a focus on the medicines optimisation agenda. All Pharmacy staff involved in all aspects of Good Distribution Practice (EU GDP 2013/C 343/01) have a personal responsibility to ensure that all activities undertaken within our hospital Pharmacy are compliant with Good Distribution Practice (EU GDP 2013/C 343/01) and all relevant department procedures are followed effectively.

Detailed job description and main responsibilities
- Provide administrative support to the pharmacy department by effective and efficient management of work generated including audio typing, the use of Word processor, spread sheets, presentation, software packages for the preparation of newsletters, reports, prescribing protocols etc.
- Use of effective time management skills to prioritise workload.
- To provide secretarial support, in the absence of the Pharmacy PA, to the Pharmacy Board.
- To help as required and provide administrative support to the Pharmacy Board.
- To assist in the update and management of the Pharmacy Intranet site.
- To assist in the management of the eRostering system.
- To assist in the management of the Standard Operating Procedures pharmacy system and spread sheet.
- To undertake specific projects as dictated by the Director of Pharmacy .

Qualifications
Essential criteria
- GCSE level English (or equivalent skill level)
- NVQ3 or equivalent
Experience
Essential criteria
- Previous administrative experience
- Evidence of competence in the use of Microsoft office packages (word, excel, PowerPoint, publisher)
- Previous experience of manipulation of data from spread sheets and production of visual data displays for presentations.
Desirable criteria
- Previous related NHS experience
- Related medical terminology
- Use of software to run data reports
Knowledge
Essential criteria
- Good time management and organisational skills
- Proficient in use of Microsoft Word and Outlook
- Can work both in a team and independently
- Ability to work to deadlines
