Job overview

We are looking for dynamic, innovative and motivated individuals to join our Childrens Services Team. 

This post will work closely with the Childrens Services Operations Managers’, Service Managers and Clinical Teams and be responsible for day to day for the management of the administration team and provision of operational support for teams within Childrens Services as part of a job share.

Key elements of the role include: The ability to manage agreed targets set out by the Welsh Government in relation to Children’s Services; to monitor progress of administrative management and provide relevant feedback on achievements and work collaboratively to plan to meet these targets; to identify and implement new and improved ways of working to support the Management Team in the achievement of key operational and strategic objectives for the division.

The candidate will provide overall responsibility for the management of the administration team and provision of operational support for Children’s Services team.  Manage agreed targets set out by the Welsh Government in relation to Children’s Services. 

Main duties of the job

 Monitor progress of administrative management and provide relevant feedback on achievements and work collaboratively to plan to meet these targets.

Working closely with other members of the Management Team, the post-holder has direct operational and management responsibility for all the administrative, clerical and secretarial staff within the team. The post holder will be expected to identify & implement new and improved ways of working to support the Management Team in the achievement of key operational and strategic objectives for the division. The post holder will be expected to produce routine and ad hoc information to support the monitoring of quality indicators and the achievement of key division objectives.

The successful candidate will have possess leadership skills and will be required to demonstrate previous experience of managing staff and budgets, along with possessing excellent people management skills including the ability to influence and negotiate to ensure service delivery and continuous improvements are made.

The post holder will  manage projects at a local or regional level and therefore excellent project management and organisational skills will be essential.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Detailed job description and main responsibilities

Everybody’s role within the C&YP service is to work towards helping the children and young people in that family.  Families can exist in many forms, sizes and some children and young people may only have themselves.  We see our goal as to support that child and/or young person and whatever their family is or will be to enable them to achieve their maximum potential.  We know that fate has placed them in this situation and we are there to support them through their journey to resolve/adapt or come to terms with the health challenges they face.  Every one of our team member plays an important part in our service and together we work to establish our own “family of a team”, as we recognise that the privilege of supporting Children and young people through their journey is improved if we support and work together as a team that respects and supports each other.  Children are at the heart of what we do every day; and team working plays a huge part of this.   The successful candidate will work in a highly motivated, busy; yet supportive operational team within Childrens Services providing management support to our Acute and Community administration team, and operational support to our Acute and Community Clinical Team.   Linking regionally with colleagues to ensure good practice is shared and continue to maintain good working  relationships.   1. Responsible for the management of all administrative, secretarial and clerical staff within the department.
  2. Analyse a range of complex data to provide relevant reports relating to targets to the Senior management structure.
  3. Ensure that performance targets as outlined by the Welsh Government are met with particular reference to the waiting time targets including Healthy Child Wales Programme
  4. Ensure the effective and efficient use of physical and financial resources. This will include the evaluation of competing demands from across the department and subsequent decision-making regarding the allocation of staff resources to ensure the needs of the service are met in the most efficient and appropriate manner. 
  5. Initiate and facilitate the development of administration and clerical services across the department to respond to changing service demands and key national initiatives.
  6. To lead on service development projects that impact across the administration and clerical section of the Department
  7. Lead on specific projects as directed by the Deputy Operations Manager

Essential criteria
  • Degree level education or equivalent experience.
  • Post Graduation Qualifications to Diploma level or above or equivalent experience.
  • Evidence of recent professional/personal development/education
Desirable criteria
  • Additional experience to post graduate diploma level or equivalent
  • Masters/post-graduate level of education

Experience
