An exciting opportunity has arisen for an enthusiastic, organised and motivated individual to join the Clinical Research Directorate as Personal Assistant, providing efficient and comprehensive secretarial and administrative support to the Clinical Leadership Team across the Directorate.

Main duties of the job

The post holder will be responsible for the provision of a full PA/Secretarial Service and will work as part of a team delivering an efficient and high quality service to the Clinical Research Leadership Team as well as providing guidance and support to others in the Team.

You will need good planning and organisational skills to organise and manage diaries, meetings, conferences whilst balancing workloads for members of the Leadership Team and to cross-cover for colleagues during periods of absence/holidays. You will be able to demonstrate the skills and experiences as set out in the job description and person specification. 

In addition, this role will provide an opportunity for someone to develop their skills and experiences in management and HR by assisting with recording and investigating complaints, assist with HR recording and reporting, support induction/training of new staff members, performance management, developing proposals for change/improvements for greater efficiency and to support recruitment and retention within the team.

Detailed job description and main responsibilities

  • To provide efficient and comprehensive secretarial and administrative support to the Clinical Research Leadership Team across the Directorate.
  • To co-ordinate all enquiries made of the Clinical Research Leadership Team and taking appropriate action or escalating to senior staff to ensure the continuity of effective service provision.

Essential criteria
  • Good working knowledge of Office software packages to include Word, Excel, PowerPoint and Outlook

  • Excellent communication and interpersonal skills – able to communicate across a multi-disciplinary team
  • Excellent organisational skills and the ability to prioritise tasks

Experience

  • Previous experience in a PA / secretarial role including experience of diary management
  • Experience of medical terminology
  • Experience of minute taking

Qualifications

Essential criteria
  • A recognised typing / text processing qualification or equivalent experience
  • NVQ level 3 or equivalent experience
  • Educated to GCSE level including GCSE English Language Grade 4 or above
  • An IT qualification such as ECDL or Microsoft Office Specialist qualification (or equivalent experience)
