An exciting opportunity has arisen within The Early Pregnancy and Emergency Gynaecology Unit. We are looking to recruit an enthusiastic and motivated administrator/receptionist to join our team.
EGAU/EPAU cares for patients having problems in early pregnancy as well as gynaecology patients who are not pregnant, but need to be seen quickly. There is a small ambulatory area for extended stay patients, and we also care for women seeking termination of pregnancy. The successful candidate will need to be pro choice.
As admin receptionist, you will be the first point of contact for patients attending our unit and will need to be welcoming, used to working on your own initiative with a good sense of humour. The admin part of the role will involve booking appointments, investigations, completion/filing of notes and working with computer systems such as Medway, E-trac, and Anglia ICE.
Please be aware - at present the unit is open Monday-Friday 08.00-18.00 and weekends and bank holidays 08.00-12.00.
However, this is subject to change in the future to a seven day 08.00-20.00 per week service.

Main duties of the job
The position requires daily interaction with patients, a variety of colleagues and external healthcare providers. You must therefore be a great communicator and a team player with a determination to provide an efficient service with an ability to work within a team but also on your own.
The post holder will:-
Make a significant contribution to running the EGAU:
- Provide a welcome to patients, visitors and staff for women attending EGAU
- Make a significant contribution to making patients, relatives and carers feel important whether by face to face or telephone contact
- Deal with enquiries, complete any triage forms, and pass information to the appropriate staff
- Be able to recognise and respond to urgent/emergency situations
- Negotiate convenient appointment dates and times for patients to attend the Unit

Education & Qualifications
Essential criteria
- English and Maths at GCSE level or Equivalent
Desirable criteria
- Business administration NVQ level 2 or equivalent experience in clerical environment
- Customer Service level 2 or equivalent
- European Computer Driving Licence (ECDL)
Experience
Essential criteria
- Good administration, communication and customer skills both written and verbal, demonstrating sympathy and compassion
- Experience of working with a range of Microsoft Office packages, such as outlook and excel
- Experience of using IT systems
Desirable criteria
- Recent NHS experience
- Experience of working in a busy environment
Key Skills/Abilities
Essential criteria
- Good keyboard/IT skills
- Ability to deal professionally with enquiries from staff, patients and visitors
- Ability to pay attention to detail where there are interruptions to the work pattern
Desirable criteria
- Experience of hospital computer systems such as Medway, etrac and Anglia

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
