Job overview

An exciting opportunity has arisen for an enthusiastic, organised and motivated individual to join the Clinical Research Directorate. You will join a team of admin professionals providing support to research delivery teams across the Trust. 

The role involves close working with medical, nursing and research support staff to provide an efficient secretarial and administrative service to their teams. You will also make sure that patient appointments are booked and communicated and recorded effectively in relevant NHS systems.

These roles have lots of variety and ad-hoc demands and post holders must be flexible and possess excellent time management and planning skills.  This is an opportunity to work within a very supportive and welcoming team and to further develop existing knowledge and skills.   Previous administration/secretarial experience in an NHS environment is preferred but not essential as full training will be given.

Main duties of the job

The role involves close working with medical, nursing and research support staff to provide an efficient secretarial and administrative service to their teams. You will help ensure that agendas, minutes or action points are produced for team/directorate meetings. 

You will manage shared mailboxes and respond to telephone enquiries which may require you to adapt your priorities to respond to urgent queries or escalate to other members of the team, as necessary.

You will require good communication skills to build relationships across the research directorate and into the Trust as well as communicating with patients and external stakeholders such as GP surgeries, other NHS Organisations, Community and Clinical Research Organisations.

Good organisational skills are key to making sure that patient appointments are booked, communicated and recorded effectively in relevant NHS systems. You may also be required to schedule appointments and meetings for staff and sometimes organise travel arrangements. 

You should be able work to deadlines and cover for colleagues during periods of leave, as required.

Detailed job description and main responsibilities

  • Working within Clinical Delivery Secretarial Department to provide a comprehensive administrative and secretarial support service across clinical research specialities to Consultants, Medical Staff and other clinical members of their team i.e. Team Lead, Research Nurses etc.
  • Communicates with patients regarding appointments and admissions at the request of the clinical l staff.
  • Provide cross site cover for Secretarial colleagues during absences as directed by Line Manager as required

Qualifications & Education

Essential criteria
  • Appropriate NVQ III Certificate (e.g. Business Administration, Secretarial Support etc) or equivalent level qualifications / relevant experience
  • English Language qualification to GCSE level 4 (or above) or equivalent level qualification / relevant experience
  • Advanced keyboard skills including a high standard of word processing skills (e.g. OCR / RSA II or equivalent level qualification / experience)
Desirable criteria
  • OCR / RSA III

Knowledge & Experience

Essential criteria
  • Experience of secretarial procedures
  • Audio typing experience
Desirable criteria
  • NHS secretarial experience
  • Working Knowledge of NHS Systems e.g. eRecord
  • Knowledge of Medical Terminology

Skills & Abilities

  • IT skills to include office software packages
